Operator and scope
AcademyOS is operated by Rawad Aridi (“we”, “us”). These terms cover our website, academy workspaces, player and family portals, and the AcademyOS Backups utility. For service enquiries, contact rawadkaridi@gmail.com.
This version is effective from 10 October 2026. Publication does not activate pilot or portal access. Pilot academies and users must receive these terms and separately agree to the applicable service arrangements before access is enabled; simply reading this page does not signify acceptance. An academy’s sporting membership, safeguarding rules and fee arrangements are separate from the software service.
Accounts and authority
Use accurate account information, keep sign-in credentials private and use only accounts and records you are authorised to access. An academy representative must have authority to administer that academy. Staff should have individual accounts and appropriate roles, rather than shared credentials.
Player and family access requires an academy-approved link to a player. A player may hold a personal account while their guardian holds a separate linked account. An account alone does not grant staff membership or access to other players. The academy must verify guardian authority and arrange the permissions and supervision required for minors under applicable law.
Tell your academy and the operator promptly about a compromised account, an incorrect link, an outdated guardian relationship or access that should be withdrawn.
Academy responsibilities
The academy is responsible for the accuracy and lawful collection of its records, appropriate notices and consents, staff access assignments, safeguarding, and decisions about participation, fees, nutrition or health. Only upload information needed for the relevant purpose and documents you have permission to use.
Before real player or guardian information is introduced, the academy and operator must document processing instructions, relevant provider and overseas-transfer arrangements, retention and deletion procedures, and recovery responsibilities. These pages do not replace that assessment or a data-processing agreement.
Academies must review account links and departing staff access, respect restricted clinical records, and handle correction and consent-withdrawal requests. Player and guardian portals are read-only for profile details; they do not silently change the academy’s official record.
Consent and shared information
Creating a player, granting portal access or accepting software terms is not permission to publish photos, market to a family or use personal information for an unrelated purpose. Obtain any required specific consent separately and respect its scope, expiry and withdrawal.
Do not publish, forward or use someone else’s personal information without authority. A document shared in a portal is not necessarily public. Public academy or squad logo uploads must not contain private player documents or sensitive information.
Acceptable use
- Do not attempt to bypass permissions, impersonate another user, retrieve another academy’s records or misuse downloaded information.
- Do not upload malicious files, unlawful material or information you have no authority to provide.
- Do not harass users, spam recipients, probe or overload the service, or interfere with its security.
Report suspected faults privately to the operator. Reasonable measures may be taken to restrict abusive or unsafe use, proportionate to the issue.
Records and software
You and your academy retain your respective rights in submitted content. Personal information remains subject to the rights of the people it concerns. Providing content permits only the processing needed to operate the requested features and agreed support, security and recovery activities, subject to the privacy notice and applicable instructions.
The operator retains their rights in AcademyOS software and branding; third-party components retain their own licences. Pilot access allows authorised use of the service, not ownership of the software or a right to redistribute others’ data.
Pilot features and fees
The initial pilot is free of AcademyOS subscription charges. There is no automatic paid conversion. Pricing, billing or a future paid plan must be clearly presented and separately agreed before charges begin.
Player fees entered by an academy are the academy’s own charges, not AcademyOS subscriptions. A payment record or receipt describes what the academy recorded; it is not a guarantee of a bank transfer, tax treatment or an online card-payment service. Raise disputed player charges with the academy.
Features may be limited, corrected or changed during the pilot. There is no promised uptime or recovery-time service level. Keep alternative arrangements for urgent communications, safeguarding and essential records. Material changes affecting continued use should be communicated with reasonable notice where practicable.
AI and communications
AI-assisted imports are optional and unavailable in production until explicitly configured. If enabled, authorised staff must have permission to send the source, remove unnecessary sensitive information and check every extraction before saving. AI output can be wrong and is not medical, dietary, legal or financial advice.
Training, injury and nutrition decisions remain with the academy and appropriately qualified professionals. Do not use AcademyOS as an emergency or clinical response service.
In-app notices and configured, opted-in emails are not guaranteed to reach a recipient at a particular time. Native mobile and browser push notifications are not included in the current pilot. Use an appropriate direct channel for urgent changes.
Backup utility
AcademyOS Backups is an operator-managed recovery tool, not a general Google Drive file manager. It uses a separately authorised Google connection and application checks for the selected private backup folder. It uploads encrypted archives and verifies transfers; it does not need users’ entire Drive contents or make archives public.
Production recovery through this tool is not yet available. Testing has used encrypted synthetic content only. Production exports, daily scheduling and 14-day retention are not active. Backup availability and recovery responsibilities must be confirmed with the academy before the service can be relied on for production recovery.
The operator is responsible for the backup account, access tokens and recovery keys. Revoking Google access stops future API operations but does not erase existing files. Never send credentials or recovery keys to support in ordinary email. See the Google Drive privacy disclosure for details.
Suspension and ending access
An academy can withdraw staff, player or guardian access within its authority. The operator may restrict access to address a security risk, unlawful conduct or a legal requirement. Where safe and practicable, the affected academy or user should receive an explanation and an opportunity to resolve the issue.
To leave the pilot, contact the operator to arrange an appropriate export and a documented deletion or retention plan. There is no promise that deactivating a player or deleting an account removes all academy history. Legal duties, the rights of others and restricted recovery copies may affect deletion.
No clause in these terms excludes liability or a remedy that applicable law does not allow to be excluded. The free pilot does not remove anyone’s mandatory privacy, consumer or other legal rights.
Questions, disputes and updates
Contact rawadkaridi@gmail.com with service questions or concerns. We will try to resolve them fairly. You retain access to any competent regulator, court or other remedy available under applicable law.
No mandatory arbitration, exclusive venue or additional waiver is imposed by these terms. Applicable law determines the rights and remedies available to you.
Material changes should be explained before they take effect, with fresh agreement where required. Any change to the operator’s identity or contact location will be reflected in the published documents.
